Medicare Appointment Checklist: What Every Agent Should Cover

Medicare Appointment Checklist: What Every Agent Should Cover

When it comes to enrolling clients in a Medicare plan, preparation is key. The Centers for Medicare & Medicaid Services (CMS) has strict guidelines for how agents should conduct their appointments—and staying compliant means staying organized.

Using a structured appointment checklist not only ensures you’re meeting compliance requirements, but also helps build client trust by providing a smooth, informative, and ethical experience.

Whether you’re preparing for Annual Enrollment Period (AEP) or working with Medicare clients year-round, here’s how to get your appointments right from start to finish.

Before the Appointment

1. Confirm the Appointment
Double-check the date, time, and location—whether it’s in person, by phone, or virtual. Clear communication builds trust early.

2. Gather Key Information
Make sure you have the client’s name, contact details, and Medicare eligibility confirmed. This is essential to keep the meeting focused and efficient.

3. Review Client Needs
Take time beforehand to assess their current healthcare situation, medications, preferred doctors, and financial considerations. This allows you to recommend plans that truly meet their needs.

4. Prepare Materials
Bring CMS-approved brochures, plan summaries, cost comparison tools, and any other resources you plan to present.

5. Print Forms
Have a Scope of Appointment (SOA) form completed at least 48 hours in advance, along with enrollment forms in case the client is ready to proceed.

During the Appointment

1. Introductions & Disclosures

  • Introduce yourself and share a business card.
  • Make it clear that you are not affiliated with Medicare or the federal government.
  • Explain that the plans you present are under contract with CMS and renew annually.
  • Be transparent about how you are compensated.

2. Medicare Overview
If your client is unfamiliar with Medicare, briefly walk through the four parts—A, B, C, and D. Help them understand the differences between Original Medicare and Medicare Advantage.

3. Needs Assessment
Ask questions to identify what matters most to them.
Sample questions include:

  • “What do you like about your current plan?”
  • “Are there any healthcare concerns or changes coming up?”
  • “Do you have a monthly budget in mind for healthcare expenses?”

4. Plan Presentation
Present a few options that meet their needs.

  • Use simple, easy-to-understand language.
  • Focus on key factors: doctors, medications, co-pays, dental/vision benefits, and premiums.
  • Use plan summaries and cost tools to simplify complex comparisons.

5. Address Concerns
Allow time for questions and be honest in your answers. Never rush through this step—trust is earned here.

6. Enrollment Process (if ready)
If your client is ready to enroll:

  • Review the plan details again.
  • Answer any remaining questions.
  • Assist them in accurately completing the enrollment form.

After the Appointment

1. Thank the Client
A simple thank you goes a long way. Let them know you’re available for questions at any time.

2. Provide Resources
Leave behind your contact info and any additional resources that could help them review their options.

3. Follow-Up
Schedule a follow-up call or email to check that the plan is working for them—and to keep the relationship going.

Additional Tips for Agents

  • Be Patient: Medicare is complex—give your clients time to process and ask questions.
  • Be Ethical: Prioritize their best interests, not your sales goals.
  • Stay Compliant: Always use CMS-approved materials and stay up to date on regulations.

By using a standardized checklist and putting your client’s needs first, you not only stay compliant—you build long-term relationships that lead to referrals, retention, and reputation.
